Manage your supplier invoices in the cloud with ExFlow and Dynamics 365 for Operations.

The latest version of ExFlow from Swedish company SignUp Software is a secure cloud-based service to automate the costly process of managing supplier invoices. The application has been validated for Microsoft brand new ERP system Dynamics 365 for Operations and is already delivered to six customers.

Dynamics 365, which was released in early November, is a big step in the digitalization of business processes and the first Dynamics system to be delivered cloud-based (Software-as-a-Service). Dynamics 365 customers can expand the business system with customized, cloud-based apps for their business needs in AppSource.

"The next natural step"

The latest version of ExFlow is the first Swedish AP Automation solution to be certified for Microsoft Dynamics 365 and is now available for download in Microsoft online marketplace, AppSource. The well renowned application to automate supplier invoices is now also completely cloud-based, an expected development and a conscious strategy from SignUp Software.

- Supplier Invoice Automation is one of the business processes that for been leading the way of digitalization for many years. Global organizations easily see the benefits and savings that an automated workflow generates. The next natural step for our customers is to move the process into a cloud-based environment, says SignUp Software's CEO Henrik Garvner.

"Will be standard"

The digitalization of business processes, increases safety, security and streamline user activity. The cloud environment, using remote servers to store data and hosting services, is an increasingly important driver of our digital economy. According to consulting firm Gartner we will soon be using the cloud by default, rather than local installations, and this will be the case for most major organizations within the next few years.

The benefits of a cloud-based system are many in general and for invoice automation in the new ExFlow version, also many in particular (see facts below).

"User-friendly web interface"

Per Skoogh, Product Manager at SignUp Software, would like to highlight ExFlows simplicity and agility.

- In the new version, both AP Staff and approvers work within a user-friendly web interface in the Dynamics 365 ExFlow module. ExFlow extends Dynamics 365 functionality, without affecting the original code. All source code is made as "extensions" which means that it can also be installed, without problems, for customers who have their own adjustments or add-ons.

FACTS / Benefits of new ExFlow:

• ExFlow is now following the new role-based workspaces for both AP staff and approvers. These can be easily changed and expanded by the customer so that they are streamlined according the organization. You get full control of the invoice flow with the help of graphs, lists, diagrams etc.

• ExFlow also use task recordings with step-by-step description of all important invoice processing activities. Let the system show you on the screen, exactly where you need to click to perform a task, for example registering a supplier invoice.

• Full support for so-called data entities for ExFlow data for both set-up and transactions. This makes it possible to easily move data between different environments via Excel and the ability to analyze transaction data with BI tools such as Power BI.

• Introducing enhanced contract management for cost invoices. You can easily add a regulatory framework for the recurring invoices, for example, telephony, electricity or rent that can be automatically approved by the system without the need for manual approval.

• Extended approval rules set up in ExFlow, with even more additional configurations. For instance, the application can automatically add approvers on the invoice based on the coding of the moment on the accounts. This ensures that the cost center manager always gets the opportunity to approve / reject the bill before it is posted.
