Sertica strengthens purchasing and maintenance

ESVAGT is in the process of implementing Sertica, which will help ensure accuracy in ordering and save time and expense on express delivery - and ensures a systematic, uniform configuration of maintenance across all vessels.

Purchasing for the ESVAGT fleet since the end of February 2016 has been carried out using a new software system; Sertica has taken over from Amos, something that all colleagues involved in purchasing have been very satisfied with:

“Now we can monitor the fleet with the same personnel resources we used when we had 20 fewer vessels. Sertica has improved our overview,” says Michael Rønn, Senior Purchaser.

Previously, purchasing was carried out by sending a mail onshore, where it was entered into an AX accounting programme. Over the past eight years via an integration with Amos offshore and AX on land, means that everyone now works in Sertica, which not only saves time but also helps ensure that people order exactly what it is they need.

“Now everyone can follow a request in the same system – from enquiry from on board a vessel, through purchasing and on to logistics and shipment in the Warehouse. As there are pictures of approximately 60 percent of the 7,500 standard products in the system, the margin of error is significantly reduced,” says Michael Rønn:

“It has been warmly accepted by the users who find the system intuitive and simple to use. The advantages were quickly apparent.”

Lifts quality

The system also helps to increase safety. All approved products in the system have the relevant certificates attached, which ensures that they are ESVAGT approved products. If datasheets, certificates or the like are needed, they can be attached to the individual order as a document.

“We gain a better overview of what is ordered and have experienced an improvement in the quality of our documentation, logistics and supplier contact. The system encourages everyone to do things in the same way, which is a real advantage. It means that everyone can go into the system and see where an order is. There is no need to wait for the person who placed the order to check what has been done. This makes us less vulnerable and raises quality. It has been a positive addition all the way around,” says Michael Rønn.

Other ESVAGT departments are also converting to Sertica, including Ship Management.

“Once we became accustomed to using it, it was clear that it was a good tool,” says Claes Skov Jensen, Fleet Manager Technical:

“Systemisation is a clear advantage. It is much easier for us now that we are all using the same system. It makes it easier for us to know where we need to look for something on an individual vessel,” he says.

Mistakes are spotted

Sertica is also used to ensure a systematic, uniform configuration of maintenance across all vessels. For example, vessels in the fleet that are similar to each other are created using a common start point (mother ship) from which they will be adapted to match the individual vessel. In this way, mistakes and changes or updates to maintenance requirements can be identified across the vessels relatively simply.

“If we discover an error on a vessel or job description, it is now easy to check for similar errors in the maintenance of sister vessels so that we can make sure that we correct it,” says Claes Skov Jensen.

Sertica maintenance is currently implemented on 2/3 of ESVAGT’s vessels.
