By implementing an AI assistant for document interpretation, MaserFrakt has been able to automate the handling and archiving of daily consignment notes generated after each transport. This reduces manual administration, makes information instantly searchable, and streamlines operational work.

In collaboration with Zimply, an AI assistant has been developed that automates the interpretation and archiving of freight documents. The assistant monitors new consignment notes, extracts unique consignment note numbers from varying file formats, and sorts them into a structured and searchable archive.

Challenge: High Volumes and Time-Consuming Search

With a volume of approximately 1,500 consignment notes per day, document handling represented a significant administrative burden. The previous process required manual effort to sort documents arriving in different formats. Difficulty in quickly searching for and locating specific consignment notes created bottlenecks during internal audits or customer inquiries, especially since the quality of the supporting documents varied greatly.

Solution: An AI Assistant for Intelligent Document Archiving
Zimply’s AI assistant has helped MaserFrakt automate the entire consignment note management workflow. The AI assistant analyzes incoming files and identifies the unique consignment note number regardless of document format. It then renames the file to make it searchable and moves it into a logical folder structure, ensuring that the archive is always up to date and accurate.

Results: Searchable Documents and Time Freed Up
The implementation of the AI assistant saves up to eight hours per day compared to manual handling. However, the primary value extends beyond time savings. The solution has transformed a static legacy process that required extensive maintenance and lacked flexibility into a modern AI-based solution that improves efficiency and ensures delivery quality.
